No Local Team in Vietnam? Keep Your Retail Project Moving
A local point of contact is useful only when responsibilities and evidence are clear. Define which tasks require follow-up in Vietnam, who may approve a commitment and how progress is reported. Coordination is not a guarantee of a buyer, a representative-office licence or a sale.

Separate coordination from commercial authority
The coordinator can organise agreed product information, maintain a sample register, prepare questions and record buyer responses. The brand approves prices, budgets and commitments. The agreed importer or distributor handles the responsibilities it has accepted. Specialist legal, customs and technical questions go to qualified parties.

Use a one-page weekly report
The entries below are fictional examples. Replace them with records you are authorised to use; an email sent is an activity, not a meeting or sales result.

For every item record the date, source, owner and due date in the working file. Keep buyer contact data in the restricted project record, not in public reports or analytics.
Agree a cadence and a stopping rule
Choose an update frequency that fits the project; weekly reporting is an example, not a default service promise. For unanswered requests, agree when to ask a specific question, when to use an authorised alternative channel and when to pause. Repeated messages without new information are not progress.
Acceptance should refer to deliverables under the team’s control: a completed assessment, an approved product sheet or a documented response. Any success fee must use a separately defined milestone. Do not equate a prepared file with a retail listing, or a listing with consumer sales.

Set the boundaries before handing over access
Support may include document preparation and agreed commercial follow-up. It does not automatically include signing for the brand, importing goods, buying inventory, financing stock or providing repairs. Confirm the contracting party, service language, access rights and conflicts before work begins.
Can this replace a full local team?
It can cover a defined set of tasks, not every function of a local business. Agree the availability and escalation route rather than assuming continuous support.
What access is needed?
Use a limited project folder and named business contacts. Do not provide passwords, unrestricted mail access or full customer exports for an initial assessment.
How do we judge progress?
Compare accepted deliverables and verified responses with the agreed scope. A report should also make stalled work and decisions visible, not just list messages sent.
